Privacy Policy

Last updated: 05/05/25

At Family CommReport, we are committed to protecting the privacy and confidentiality of the personal data we process on behalf of our clients. This Privacy Policy outlines how we collect, process, store, and protect the personal data we handle as part of providing our communication analysis services.

1. Who We Are

Family CommReport provides AI-powered, data-driven reports that analyse family communication. We identify patterns in caregiving roles, emotional engagement, missed contact, and other communication dynamics, helping co-parents, family law professionals, and mediators understand family relationships more clearly. In this context, we act as a data processor for our clients, who are the data controllers of the information provided.

2. Information We Collect and Process

On behalf of our clients, we may process the following types of personal data:

· Communication Data: Text messages, emails, or other forms of written communication between family members.

· Personal Details: Data relating to caregivers, children, and other family members in the communication being analysed (e.g., names, roles, contact details).

· Sensitive Data: Information such as children’s names, addresses, or school details, which may be included in communication data.

3. Our Role as Data Processor

As the data processor, we process personal data only on the instructions of our clients, the data controllers. We are committed to protecting the privacy and security of the personal data and ensuring that it is processed in accordance with applicable data protection laws (such as GDPR in the UK/EU).

4. How We Use the Data

We use the personal data to:

· Provide Communication Analysis Reports: Analysing communication data to identify patterns such as caregiving roles, emotional engagement, and communication gaps, or to identify indicators of abusive behaviour.

· Offer Redacting Services: To remove sensitive information (e.g., child names, addresses, and school details) before analysis.

· Support Our Clients: Providing insights and recommendations that assist in family law cases, mediation, or co-parenting arrangements.

5. Confidentiality and Security

We take confidentiality and data security seriously. We implement strict technical and organisational measures to protect personal data from unauthorised access, disclosure, alteration, or destruction. These measures include data encryption and secure access controls. We are committed to handling personal data securely in line with our contractual obligations to our clients.

6. Data Retention

We retain personal data for as long as necessary to provide our services or as required by our clients. Once personal data is no longer needed, we securely delete or anonymise it.

7. Data Sharing

We do not share personal data with third parties except in the following circumstances:

· Service Providers: We may share personal data with third-party service providers (e.g., cloud hosting, data processing) who assist us in providing the service. These third parties are bound by confidentiality agreements.

· Legal Obligations: If required by law, we may share personal data to comply with a legal obligation or protect our rights.

We do not sell or rent personal data to any third parties.

8. Rights of Data Subjects

As a data processor, we assist our clients (the data controllers) in fulfilling data subjects’ rights under applicable data protection laws. These rights include:

· Access: The right to request access to personal data.

· Correction: The right to request correction of inaccurate or incomplete data.

· Erasure: The right to request deletion of personal data, subject to legal obligations.

· Objection: The right to object to the processing of personal data for certain purposes.

· Portability: The right to receive personal data in a commonly used, machine-readable format.

· Consent Withdrawal: If processing is based on consent, data subjects have the right to withdraw consent at any time.

For any requests relating to these rights, please contact the data controller (your client) directly. If necessary, we will assist in facilitating these requests.

9. Co-Parenting Apps and Data Download

With your explicit consent, we can download communication data from third-party co-parenting apps (e.g., OurFamilyWizard, TalkingParents) on behalf of our clients. We ensure that the data downloaded from these platforms is processed with the same care and security as any other communication data.

10. Cookies

We use cookies to enhance your experience on our website. Cookies are small text files that are stored on your device to help us improve the functionality of our site. You can adjust your browser settings to refuse cookies, but this may limit your ability to use some parts of the site.

11. Updates to This Privacy Policy

We may update this Privacy Policy periodically. Any changes will be posted on this page with an updated “Last updated” date. We encourage you to review this policy regularly to stay informed about how we are protecting personal data.

12.Contact Us

If you have any questions or concerns about this Privacy Policy or how we handle personal data, please contact us.
